Sanctuary Club Website Governance
The Sanctuary Club website is a community facility for Sanctuary residents.
It is intended to support Club activities, communication and the sharing of useful information, while providing straightforward access to the services available through the website.
Website Custodians
The website is looked after by Website Custodians.
Their role is to safeguard the continuity, security and proper operation of the website and to help ensure that it continues to serve the Sanctuary community.
Website Custodians are stewards of the website rather than owners of it. Their names are published in the Role Register, so that members can always see who currently holds this responsibility.
The Residents Association Panel
The Residents Association Panel represents residents in the wider affairs of Sanctuary and may be represented among the Website Custodians.
Website stewardship is nevertheless kept separate from Panel membership so that responsibility for the website remains balanced and its continuity does not depend upon changes in the composition of the Panel.
No more than half of the serving Website Custodians should at the same time be serving members of the Residents Association Panel.
This allows appropriate Panel representation while retaining broader community participation in the stewardship of the website.
Administration
Day-to-day administration of the website may be undertaken by authorised Website Administrators and other Role Holders according to their particular responsibilities.
Website Administrators may access, edit or remove website content where this is appropriate for administration, correction or support. Where an Administrator changes or removes another person's work, the action is recorded in the website Audit Trail. Material which requires Editor approval remains subject to that editorial process.
Administrative access enables those duties to be carried out but does not, by itself, confer ownership or overall control of the website or its underlying technical services.
Openness and accountability
The current Website Custodians are identified in the Role Register.
The website maintains an Audit Trail of significant administrative actions. This provides a record of important changes and decisions affecting the operation of the website without recording ordinary members’ use of it. A separate Website Audit Trail Notice explains what is, and is not, recorded.
The website also provides published routes through which members can communicate with those responsible for Club and Residents Association matters.
This governance statement is kept in the Library so that the arrangements for looking after the website are readily available to all members.
Responsibility for maintaining and publishing the website governance record rests with the Club Secretary.
Keeping the arrangements up to date
The governance arrangements may be reviewed as the website and the needs of the Sanctuary community develop.
Any significant change should be recorded openly so that members can continue to see how responsibility for the website is organised.
